Terms & Conditions

These terms outline how Safari Souls Africa plans tailor-made travel, confirms bookings, handles payments, and applies cancellation and refund conditions.

Terms and Conditions

Safari Souls Africa creates tailor-made travel itineraries and may arrange accommodation, transfers, rental vehicles, activities and other travel services through trusted third-party partners. All bookings are subject to availability and are only confirmed once the required deposit has been received and written confirmation has been issued.

A 30% deposit is required to confirm a booking, unless a partner requires a higher upfront payment. The remaining balance is due 60 days before travel. Bookings made within 60 days of travel must be paid in full at the time of confirmation. Any partner costs that are non-refundable or payable upfront will be clearly communicated where applicable.

Prices are based on the itinerary, partner rates, exchange rates, taxes and availability at the time of quoting. Safari Souls Africa will make every reasonable effort to keep quoted prices unchanged, but final pricing may change if partners amend their rates, taxes change, or exchange rates move before payment is received.

You are responsible for ensuring that all traveller details are correct and that you have valid passports, visas, travel documents, medical requirements and travel insurance. We strongly recommend comprehensive travel insurance covering cancellation, medical emergencies, delays, lost luggage and partner failure.

Safari Souls Africa acts as an arranger of travel services and is not responsible for circumstances outside its control, including partner changes, weather, road conditions, park closures, vehicle issues, illness, delays, strikes, civil unrest or other force majeure events. Where changes are necessary, we will assist in finding the best reasonable alternative.

Payment, Cancellation and Refund Policy

To confirm a booking, a 30% deposit is required. This deposit secures the itinerary and covers planning, administration and partner commitments. The balance is payable 60 days before travel. If payment is not received on time, the booking may be treated as cancelled and partner cancellation fees may apply.

The cancellation policy works as follows:

  1. If the trip is cancelled more than 60 days before the date of departure, the 30% deposit may be forfeited.
  2. If the trip is cancelled 60 to 31 days before the date of departure, a 50% cancellation fee applies.
  3. If the trip is cancelled 30 to 15 days before the date of departure, a 75% cancellation fee applies.
  4. If the trip is cancelled 14 days or less before the date of departure, or in the case of a no-show, a 100% cancellation fee applies.

Where accommodation, rental cars, transfers, activities or other partners have stricter cancellation terms, those partner terms will apply. Any non-refundable partner costs, bank charges, currency conversion costs and reasonable administration costs may be deducted from any refund.

Refunds will only be processed once any refundable amounts have been received back from the relevant partners. Approved refunds will normally be processed within 14 to 30 days. All cancellations and refund requests must be submitted in writing.

This policy is applied subject to applicable South African consumer protection laws. Where the law requires a different outcome, including in cases where a booking cannot be honoured due to death or hospitalisation of the traveller, Safari Souls Africa will apply the policy in line with those legal requirements.
